LeaseLine LLC, a Massachusetts limited liability company · Fairhaven, Massachusetts

1. Introduction

This Privacy Policy explains how LeaseLine LLC, a Massachusetts limited liability company (LeaseLine, we, us, or our), collects, uses, and shares information in connection with the LeaseLine websites, applications, and services (the Service). LeaseLine provides an AI-assisted leasing assistant that communicates with prospective renters by phone, text message, and email on behalf of landlords and property managers (our Customers).

For much of the personal information the Service handles about prospective renters and applicants, our Customer is the party that decides why and how it is processed, and LeaseLine acts as that Customer's service provider. If you interacted with LeaseLine about a specific property, the landlord or property manager for that property also handles your information under their own practices.

2. Information We Collect

Customer account information: When a Customer signs up, we collect business and contact details, login credentials, and billing information. Payment card details are handled by our payment processor, Stripe, not stored by us.

Prospect and applicant information: When someone contacts a Customer through the Service or is entered as a lead, we collect information such as name, phone number, email address, the property or unit of interest, the content of their inquiry, and the answers they give to prescreening questions (for example, desired move-in date, household size, and other criteria the Customer configures).

Communications content: We collect and retain the content of communications handled by the Service, including text messages, emails, and phone calls. Phone calls may be recorded and transcribed. This record is used to provide the Service, to continue conversations across channels, and to keep an audit trail for the Customer.

Usage and technical information: We collect information about how the Service is used and delivered, such as message delivery status, call duration, timestamps, and basic device or log data.

3. How We Use Information

We use information to operate and provide the Service; to answer inquiries, prescreen prospects, and route applications on the Customer's behalf; to send and receive calls, texts, and emails; to measure usage and bill Customers; to maintain security and an audit trail; to comply with legal obligations; and to maintain and improve the Service.

4. Automated Communications and Call Recording

The Service communicates using automated systems and artificial intelligence, and it identifies itself as an automated assistant. Phone calls may be recorded and transcribed. Recording and privacy laws vary by jurisdiction, including states that require the consent of all parties to a call. Customers are responsible for providing any notices and obtaining any consents required where they and the people they contact are located.

Text messages: recipients can opt out of text messages at any time by replying STOP, and can request help by replying HELP. Message frequency varies. Message and data rates may apply.

5. How We Share Information

With the Customer: Information collected through the Service about prospects and applicants is made available to the Customer on whose behalf the Service operates.

With service providers: We share information with vendors that help us run the Service, which may include Twilio (telephony and messaging), ElevenLabs (voice), Anthropic (AI processing), Resend (email delivery), Stripe (payments), and cloud hosting and database providers. They may process information only to provide services to us.

For legal and safety reasons: We may disclose information if required by law or legal process, or to protect the rights, property, or safety of LeaseLine, our Customers, or others.

Business transfers: Information may be transferred as part of a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell personal information for money.

Mobile opt-in and consent: No mobile information will be shared with, or sold to, third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third party, except with vendors and service providers acting on our behalf solely to deliver the messaging service.

6. Data Retention

We retain information for as long as needed to provide the Service, maintain the Customer's audit trail, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may be governed by our agreement with the applicable Customer.

7. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Choices and Rights

You can opt out of text messages by replying STOP. Depending on where you live, you may have rights to access, correct, or delete personal information, or to limit certain processing. Because much of the prospect information we hold is processed on a Customer's behalf, we may direct certain requests to the relevant Customer, or act on their instructions. To make a request or ask a question, contact us using the details below.

9. Children's Privacy

The Service is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be posted here with a new effective date.

11. Contact
